Applying For A DBS / Criminal Record Check

Everyone working in an eligible role, directly working with children and young people – including managers and coaches – must have an in-date, FA Accepted, Disclosure and Barring Service (DBS) before they work or volunteer within football. FA DBSs are classed as being in-date for 3 years from the date of issue and at that point must be renewed. For more information on Disclosure and Barring Services in football please click here.
 

Applying for your DBS for the first time

First time applicants need to proceed as follows;

  1. Get added to the Whole Game system as a DBS applicant - Paul Taylor can initiate this. Contact Paul at cwo@stfrancisfc.org and provide;
    • Full Name
    • Date of birth
    • Team associated with
  2. Once notified, go to your Wholegame portal https://wholegame.thefa.com/ and login
  3. Go to MyDBS and follow the instructions to make your application
  4. Once the application is complete, contact Paul Taylor (cwo@stfrancisfc.org to validate your Identity Documents (NB: Paul is listed as Jeremy Taylor in the FA approval list)

Renewing your DBS

Within 3 months of your DBS expiry date being reached you will receive an automated email from WholeGame notifying you of pending expiry.

Within 3 months of your DBS expiry, you are able to initiate a renewal of your DBS;
 

Renewal Process:

  • Go to your Wholegame portal https://wholegame.thefa.com/ and login
    NB: Matchday and Wholegame passwords are the same / If you have forgotten your password, select “forgotten password?”
  • Go to MyDBS and request to renew
  • Once requested you should receive an email with instructions to:
    1. Activate your account and create a password
    2. Complete and submit your online DBS application and submit
  • Follow the instructions closely and submit
  • Once the application is submitted your status will change to “You have a DBS check in progress at present – ID Verification Required”.
  • At this point contact your Club Welfare Officer Paul Taylor (cwo@stfrancisyfc.org) to validate your Identity Documents (NB: Paul is listed as Jeremy Taylor in the FA approval list)

Identification validation

In order to validate your identity, your identification documents must be checked in person with the Club Welfare Officer Paul Taylor (cwo@stfrancisyfc.org)

The forms of identification required are detailed during your application.  Most people use, Passport, Driving Licence and a Council Tax demand/Utils Bill (less than 3 Months).

NB: All Identity Documents (ID) must be original, photocopies are not acceptable

Upon completion of your application, the DBS will issue you with a copy of the Disclosure. The FA CRC Agency will update their records and forward the Disclosure result to The FA who will make a decision on your acceptability. If accepted your FA Member Services record will be updated to show Accepted - you are then Cleared as far as the club is concerned.

Use of CRC Enhanced Disclosure information by The FA By completing an online CRC Enhanced Disclosure application the applicant is allowing The FA to have sight of any criminal record or non-conviction information that is held and released by the Police via the CRC process. This information may include outstanding prosecutions and relevant allegations of criminal behaviour. In line with the CRC Code of Practice, The FA may disclose this information to those involved in making a suitability decision. The FA may use any or all of this information to help decide on your suitability to be involved with children or vulnerable adults in football.

How much does it cost, how do I pay?

Volunteer fee: £10 – (Paul will sort out the payment).
 

Is it secure?

Yes. The Online Service is tested, approved, audited and used by several government departments. Information security management: UKAS accredited, ISO 27,001:2005.

You can track your application on the DBS tracking service at https://secure.crbonline.gov.uk/enquiry/enquirySearch.do. You will need your Reference Number from your application and your DOB.
